Firm Administrator (Greer Herz & Adams, LLP, Legal)

Greer Herz & Adams LLP seeks a Firm Administrator to manage its Galveston and League City offices. The Firm has 33 lawyers and 25 staff members. The Firm Administrator manages the day-to-day administrative and operational functions of the firm, including human resources management, overseeing administrative staff, including facilities, support services, secretaries, paralegals, reception and records. and reports to the Firm’s Managing Partner.

Successful candidates will have an in-depth understanding of legal administration, facilities management, Information Technology, Human Resources, benefits administration, and payroll. The Firm Administrator role will frequently participate in day-to-day operations and administration of both offices, and travel between the two offices is required.

Responsibilities:

  • Assist the Managing Partner with daily office operations for two office locations in Galveston, TX and League City, TX
  • Recommend and implement policies, procedures and strategies
    • Strong knowledge and enforcement of firm policies and procedures manual
    • Create or assist in creating new policies as needed, such as COVID, WFH, etc.
    • Hurricane or other disaster strategies
    • Mobile Text Alerts
  • Supervise all administrative, support, records, accounting, billing, library, and IT staff
    • Staff and attorney assignment recommendations
    • Staff workflow
    • Staff backup assignments
    • Year-end reviews
    • Performance and behavior counseling
    • Onboarding & terminations
    • Monitor and approve time-off requests
  • Negotiate vendor contracts and equipment leases or purchases
    • Copiers, printers, laptops, datacenter equipment, kitchen supplies, office supplies, shredding, furniture, IT service provider
  • Review and renew subscriptions and policies including:
    • Library
    • Commercial insurance
    • Flood insurance
    • Professional liability insurance
    • Cyber insurance
    • Medical and other benefit insurance policies
  • Oversee and manage facilities
    • Maintenance and repair
    • Work closely with building management
    • Building security
    • Parking garage
  • Act as firm liaison with outside professionals
    • CPA (with Business Manager)
    • ERISA consultant
    • Retirement Plan Advisor
    • Recruiting Firms
  • Oversee and assist with staff and attorney recruiting, new hire on-boarding
    • Coordinate On Campus Interview (OCI) events with law schools
    • Create job descriptions
    • Post ads on various job boards
    • Conduct interviews
    • Work with recruiting firms
  • Create, plan and implement company and employee welfare events
    • Holiday party, staff luncheon, summer events, happy hours, super bowl squares, March Madness brackets, golf tournaments, Astros tickets, Admin professionals’ Day, etc.
  • Administer the firm’s 401(k) Profit Sharing retirement plan
    • Complete annual retirement plan census and testing
    • File form 5500
    • Report new hires and departures
  • Evaluate and coordinate the renewal of software licenses, hardware purchases and asset inventory
    • Laptops, copiers, printers, legal software, library
  • Information Technology
    • Work closely with the IT Committee and IT Department
    • Create budgets, troubleshoot IT issues, research and recommend new software and hardware improvements
  • General knowledge of billing, client invoicing, and general accounting
  • Management of highly confidential information
    • Firm financial information
    • Personnel records
    • Confidential firm strategies or upcoming events
  • Benefits administration
    • enroll new hires in benefit plans (health, dental, vision, LTD, Life, Aflac, 401k)
    • submit paperwork to carriers
    • answer insurance inquiries
    • coordinate open enrollment
    • enter benefits in payroll system
    • COBRA administration
    • FMLA and medical or personal leave administration
  • Assist and complete projects that involve the operations of the firm

Qualifications:

  • Thorough understanding of legal administration, facilities management, human resources, benefits administration, and Information Technology
  • Ability to identify and analyze issues and problems and to recommend and implement solutions.
  • Willingness to work as a team and lead by example
  • Must be able to maintain cordial and effective relationships with partners, lawyers, clients and staff

Experience:

  • Four year university degree is required
  • Ten years of progressively responsible work experience at law firms with direct experience in managing business operations
